Backyard Wedding Logistics: Complete Planning Guide

Couple during golden hour during their backyard wedding in Nashville

After photographing 400+ weddings in Nashville since 2017, I've documented quite a few backyard weddings. They're intimate, personal, and often more affordable than traditional venues.

But backyard weddings come with logistics that venue weddings handle for you. You need to think about things you've probably never considered—permits, bathrooms, parking, power, rain backup, and neighbor relations.

I'm going to walk you through everything you need to handle to make a backyard wedding actually work, so you're not scrambling day-of or dealing with unexpected problems.

The Appeal of Backyard Weddings

Why Couples Choose Backyards:

  • More intimate and personal

  • Often more affordable (no venue fee)

  • Complete creative control

  • Familiar, comfortable setting

  • Can invite more people for the budget

  • Relaxed, casual vibe possible

But it comes with responsibility. You're the venue coordinator now.

Permits and Legal Requirements

What You Need to Know:

City/County Permits:

Some cities and counties require permits for events in residential areas. Check with your local government:

  • Davidson County regulations

  • Your specific city/neighborhood rules

  • Some areas require event permits

  • Some have restrictions on guest count

Call your city/county before planning anything. Different areas have different rules.

Liquor License:

If you're serving alcohol (beer, wine, liquor):

Some areas require temporary liquor licenses even in your own backyard. Check local laws—don't assume it's fine just because it's your property.

What to Do:

☐ Contact your city/county planning or zoning department
☐ Ask about event permits for residential property
☐ Ask about liquor license requirements
☐ Ask about guest count restrictions
☐ Ask about noise ordinances (see below)
☐ Get everything in writing

Noise Ordinances

This Is Real:

Most cities have noise ordinances. Wedding music, dancing, and guests talking can violate them, especially if:

  • Your wedding goes late (past 10-11pm)

  • You have loud music/DJ

  • Neighbors aren't happy

  • Someone calls police

You could get citations or be shut down.

What to Do:

☐ Check your city's noise ordinance times and decibel limits
☐ Plan to end music/loud activities by ordinance time
☐ Keep volume reasonable
☐ Notify neighbors (see below)
☐ Have a plan to wind down by curfew

Notifying Neighbors

This Prevents Problems:

Tell your neighbors in advance:

  • That you're having a wedding

  • Approximate date and time

  • That there will be music and guests

  • Parking situation

  • Ask for their patience

Why this matters:

Neighbors who know what to expect are less likely to call police. Neighbors surprised by a 150-person party at 8pm might call immediately.

How to Notify:

☐ Talk to immediate neighbors in person (best!)
☐ Or leave a friendly note
☐ Give them your phone number in case of issues
☐ Invite them if appropriate
☐ Thank them for their understanding
☐ Consider small gesture (flowers, baked goods, etc.)

Rain Plan: Tent Rental

Tents Are Your Best Option:

Why tents work:

  • Protects from rain

  • Protects from sun

  • Still feels outdoor/natural

  • Flexible sizing

  • Can be pretty with lighting

Without a tent, you have no good backup plan. Moving inside your house won't work for 100+ guests.

About Tent Rentals:

Cost: $1,000-$4,000+ depending on size (8x8 to 40x60 feet)

Size: Depends on guest count and what's under tent

  • Ceremony only

  • Ceremony + cocktail hour

  • Full reception

Booking: Book 3-6 months ahead, especially for peak season

Included: Usually tent frame, sides (optional for wind/shade), but ask about:

  • Tables and chairs

  • Lighting

  • Heating/cooling

  • Setup and breakdown

Plan B if Not Using Tent:

If you're doing tiny backyard wedding (20-30 people) or don't want tent:

  • Inside your house (if it fits)

  • Garage converted to reception space

  • Postponement plan if heavy rain

For most backyard weddings, tent is necessary.

Bathrooms

Critical Consideration:

How many bathrooms do you have?

If you have 100 guests and 1 bathroom, that's a problem. People will be waiting in line during ceremony, cocktail hour, dinner, and dancing.

Options:

Option 1: Use Your Home Bathrooms

  • Works if you have 2+ bathrooms

  • Guests use your house during event

  • Can feel awkward (people in your bedroom)

Option 2: Rent Portable Restrooms

  • Professional portable toilets

  • Usually 1-2 for smaller weddings, more for larger

  • Cost: $200-$500+ per unit for the day

  • Better than long lines to your bathroom

Option 3: Hybrid

  • Use your bathrooms + rent 1-2 portable units

  • Spreads out demand

What to Do:

☐ Count your bathrooms
☐ Estimate guest count
☐ Determine if you need portable restrooms
☐ If yes: book 2-3 months ahead
☐ Decide location (not visible from ceremony/dancing if possible)
☐ Ensure guests know where bathrooms are

Parking

Often Overlooked:

How many cars fit in your driveway/on your property?

If you have 100 guests and space for 10 cars, that's a parking crisis.

Parking Solutions:

Option 1: Street Parking

  • If you have street parking available

  • Notify neighbors (they might need to move cars)

  • Make sure it's legal parking

  • May get tickets if not allowed

Option 2: Parking Service

  • Professional valet parking

  • Cost: $500-$1,500+

  • Takes up parking space for attendants

Option 3: Nearby Parking

  • Church parking lot nearby

  • Business parking (if event is evening/weekend)

  • School parking lot

  • Arrange shuttles if far away

Option 4: Encourage Carpooling/Uber

  • Ask guests to carpool

  • Suggest Uber/Lyft

  • Limits number of cars needed

What to Do:

☐ Count available parking spaces
☐ Estimate guest count and cars needed
☐ Determine if you have sufficient parking
☐ If not: find overflow parking solution
☐ Clearly communicate parking to guests on invitation
☐ Post parking signs day-of

Power and Electricity

You Need Power For:

  • DJ equipment

  • Lighting (if evening)

  • Refrigeration (coolers with ice, drinks)

  • Photographer equipment (chargers)

  • Caterer equipment

  • Sound system

  • String lights or other outdoor lighting

Power Issues:

Most backyard weddings don't have adequate outdoor power outlets.

Solution: Rent a Generator

  • Portable generator rental: $300-$800 for the day

  • Runs DJ, lights, refrigeration

  • Place away from ceremony/dancing (noisy)

  • Fuel and setup included usually

What to Do:

☐ Identify where power is needed
☐ Check if you have outdoor outlets
☐ Count how many outlets needed
☐ If insufficient: rent generator
☐ Book generator 1-2 months ahead
☐ Arrange placement (hidden if possible)
☐ Ensure sufficient fuel for event length

Catering and Food Service

Considerations:

  • Where is caterer prepping food?

  • Do they have kitchen access?

  • Where are tables for food service?

  • Refrigeration for drinks/cold foods?

  • Trash and recycling plan?

  • Where are guests eating? (tables under tent?)

What to Confirm:

☐ Caterer has kitchen access or brings prep area
☐ Sufficient table space for food service
☐ Coolers and ice for drinks
☐ Plan for trash removal
☐ Guests have clear dining area
☐ Path from food to dining area is safe/clear

Lighting and Ambiance

Evening Backyard Weddings Need Light:

Options:

  • String lights overhead

  • Uplighting on trees

  • Lanterns on tables

  • Tent lighting

  • Landscape lighting

Cost: $300-$2,000+ depending on extent

Timing: Plan lighting during design phase

Backyard weddings can be beautiful, intimate, and more affordable. But they require YOU to handle logistics that a venue typically manages.

Success depends on:

  • Handling permits and legal stuff early

  • Renting what you need (tent, generator, portable restrooms)

  • Communicating with neighbors

  • Clear day-of coordination

Don't skip the logistics. The best backyard weddings are the ones where you've thought through everything so nothing surprises you day-of.
